Posting Context Statement:
Join the Independent Study in Idaho (ISI) team as an Administrative Specialist I and play a key role in supporting students, faculty, and staff. This position handles a variety of administrative tasks, including managing records, responding to inquiries, processing exams, supporting incarcerated learners, and maintaining departmental systems. As a first point of contact, youll ensure clear, accurate, and confidential communication.
Position Overview:
Assist with administrative tasks including preparing correspondence, maintaining records, maintaining calendars, monitoring office inventory, ordering supplies when necessary and completing various assignments as needed. This position may be the first point of contact for the department, and is tasked with ensuring that information flows accurately, efficiently and effectively while maintaining appropriate confidentiality.
Duties may include:
- Manage records and documents
- Perform general administrative support tasks such as proofreading and receiving and distributing mail; may handle cash
- Greet visitors, callers and/or email inquiries, determining nature and purpose and directing them to specific destinations/individuals/information
- Other duties as assigned
Required Experience:
- Organizing tasks to meet deadlines
- Participating in teams to accomplish shared goals
- Using computer software and applications for word processing, email, and internet searches
Required Education:
- High School Diploma or equivalent
Required Other:
- None
Additional Preferred:
- Customer service experience
- Experience working in an office setting
- Experience meeting deadlines, handling pressure, and delivering accurate information to team members and leadership
- Experience solving complex problems in a professional and efficient manner
- Experience with understanding and explaining policies, regulations, and procedure
- Attention to detail, with excellent writing, editing, and communication skills as shown in application materials
- Collaborating effectively and building positive working relationships
- Analyzing data to make informed decisions and solve problems creatively
- Proficient in Microsoft Word, Excel, PowerPoint, Adobe Acrobat, and photo editing tools like Photoshop
- Managing projects independently, learning new skills quickly, and showing initiative without needing close supervision
- Familiarity with Banner and Canvas in a work setting
- Familiarity with the University of Idaho or similar institutions
Physical Requirements & Working Conditions:
- Ability to sit/stand at a desk for extended periods and work on a computer
