The Position:
The Promise Scholars Program supports the San Mateo County Community College District's commitment to Students First - Success, Equity, and Social Justice. The program focuses on removing financial barriers that prevent students from being able to pursue their educational goals full-time. In addition to financial support, the program provides a set of student and academic support services designed to increase student success and persistence, leading to completion. Access to textbooks and instructional materials are also included as a part of the program in recognition that it is more than the cost of enrollment that prevents student from accessing higher education.

The Promise Scholars Program Retention Specialist performs work that involves outreach and the retention of first, second, and third year students in the Promise Scholars Program designed to foster student success. Under direction, the employee performs a variety of preparatory work and planning and develops strategies to support and enhance student completion and success. Public contact is extensive and primarily includes students, faculty, and staff, but can also include vendors and staff in other educational institutions and agencies, for the purpose of exchanging subject matter and procedural information. A high degree of independent judgment and creativity are required to resolve a wide variety of minor and occasional major problems that may arise. A Retention Specialist can perform a wide variety of duties within the scope of the classification. A Retention Specialist can direct the work of student assistants, clerical staff, and instructional aides, as assigned.


Duties and Responsibilities:
The duties below are representative of the duties of the classification and are not intended to cover all of the duties performed by the incumbent(s) of any particular position. The omission of specific statements of duties does not exclude them from the position if the scope of work is similar, related, or a logical assignment to this classification.

1. Proactively meets with students to monitor their progress and utilizes a variety of communication devices to offer support and case management of students

2. Uses data to track and monitors student engagement and participation with program activities, including academic counseling, Promise activities, registration, as well as support services related to financial aid and scholarships, and other CSM support programs

3. Provides retention support and case management for first, second, and third year students; which will include collaborations with learning communities, special programs, MCCDC, EOPS, DRC, etc.

4. Uses data to track student matriculation into the college and program

5. Provides and and supports the facilitation of the Promise Scholars Program orientations, information sessions, on-boarding, and workshops

6. Assists in planning an academic support structure to include workshops, program activities, and other support services to enhance student retention and success

7. Exchanges information with students, faculty, and staff regarding subject-matter, resources, materials, policies, and procedures associated with the Promise Scholars Program

8. Attends meetings, conferences, and workshops to obtain current program procedures and other information relevant to the Promise initiative and student success

9. Makes presentations to small and large groups to publicize services and programs as assigned on and off-campus

10. Assists with outreach and retention of students into specific programs, including developing strategies to enhance student completion and success

11. Develops an early alert system to identify students who are under-performing in specific coursework, and collaborates with instructional aides and tutors to intervene

12. Assists in planning an academic support structure to include workshops, study groups, tutoring, program activities, accompanying students to off-campus events, and other support services to enhance student retention and success

13. Works with faculty advisors and student leaders of clubs to develop programs that promote academic success

14. Uses a variety of computer software to organize and maintain learning resources and related data, compose and prepare correspondence, reports, publicity and other materials; sets up and maintains online and manual files; enters, modifies and retrieves a variety of statistical and other data for special and regular reports

15. Participates in division and department planning activities

16. Trains and leads the work of student Transition Navigators, clerical, and other staff as assigned

17. Performs other related duties as assigned


Minimum Qualifications:
A combination of education and experience equivalent to a Bachelors degree from an accredited institution

Successful experience of increasing responsibility that has included event planning, assessment, and evaluation

Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff

Demonstrated oral and written communication skills, including public speaking

Experience with the use of a variety of computer software to compose and prepare correspondence, forms, reports, presentations, and other written materials

Experience with research and compiling data for, formatting, and preparing statistical, financial and other reports

Skill in setting up and maintaining online and manual files


Physical Requirements:
This classification requires sitting for various lengths of time; the ability to type, use phone, occasionally lift, carry, push, pull, or otherwise move objects of light to moderate weight; work at a computer, including viewing a monitor for various lengths of time, repetitive use of keyboard, mouse or other control device, dexterity of hands and fingers to operate keyboard; and ability to operate a motor vehicle and drive to off campus locations in order to perform the essential functions.

1. High level of cultural competency and understanding of diverse student populations

2. Understanding of needs of students who transition from high school to post-secondary education

3. Skill in multi-tasking and workload prioritizing under deadline pressure, using independent judgment for decision-making

4. Skill in use of Microsoft Office Suite and web-based content management systems to compose and prepare a variety of correspondence, reports, publicity and other materials

5. Skill in establishing and maintaining respectful and sensitive working relationships with people who are diverse in their academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds

6. Skill in oral communication, including public speaking

7. Skill in written communication

8. Skill in organizing data, setting up, tracking, and maintaining data in electronic and manual files

9. Skill in directing the work of others

10. Skill in performing research in a designated subject matter area


Preferred Qualifications:
Bilingual ability in Spanish or language other than English preferred.
